Privacy Policy

This Privacy Policy explains how Olanna, Inc. ("Olanna," "we," "us") handles personal information. Please read the roles section first, because it determines who controls your data.

1. Our role

Olanna provides AI agents that businesses use to handle their own customer interactions.

When Olanna operates an agent for a business, we act as that business's service provider, or processor. We process the customer information that flows through the agent — calls, messages, and bookings — on that business's behalf and under its instructions, only to provide the Service. The business controls its own customer relationship and records. For how a particular business uses your information, please refer to that business's own privacy notice. For personal information we process on a business's behalf, we generally cannot respond to individual requests directly; please direct those requests to the business.

When you deal with Olanna directly — for example, when a business signs up, or when anyone contacts us — Olanna is the controller of that information, as described below.

2. Information we collect

From businesses: account and contact details, billing information (processed by our payment processor — we do not store full card numbers), and the configuration data you provide, such as services, hours, and policies.

From customers interacting with a business (where we act as that business's processor): the content of your interactions through Olanna, including messages, call records and transcripts, bookings, and information you provide during those interactions.

Automatically: basic technical and usage data, such as device, log, and cookie data, needed to operate and secure the Service.

3. How we use information

  • To provide, operate, secure, and support the Service.
  • To enable agents to handle interactions as configured by the business.
  • To process payments and send service-related communications.
  • To comply with law and enforce our Terms.

We process the content of customer interactions on the business's behalf, to provide that business's Service. We may use de-identified or aggregated data to operate and improve the Service. We do not sell personal information, and we do not share personal information for advertising.

4. How we share information

  • With the business you interacted with, to provide its Service.
  • With service providers such as hosting, payments, messaging and telephony, and AI infrastructure, under contracts that limit their use of the data to providing services to us.
  • For legal reasons, to comply with law or to protect rights and safety.
  • In a business transfer, such as a merger or acquisition, subject to this Policy.

We do not sell your personal information, and we do not share customer data between independent businesses.

5. Your choices and rights

You can opt out of promotional messages using the unsubscribe link or by replying STOP to texts; we may still send service-related messages. Depending on where you live, such as California, Virginia, or Colorado, you may have rights to access, correct, delete, or port your information. To make a request about information Olanna holds as a controller, contact privacy@olanna.ai. For information we hold on a business's behalf, we will direct your request to that business or help it respond, as required by law. We will not discriminate against you for exercising your rights.

6. Data retention

We keep personal information only as long as needed to provide the Service, comply with law, and resolve disputes, and then delete or de-identify it. Business records remain under the control of the relevant business.

7. Security

We use reasonable administrative, technical, and physical safeguards to protect personal information. No system is completely secure, and we cannot guarantee absolute security.

8. Children

The Service is not directed to children under 16, and we do not knowingly collect their personal information.

9. Changes to this Policy

We may update this Policy. For material changes, we will post the update and provide reasonable notice.
